The Role:
This is a key role, representing The PGA at its most senior level, providing extensive business support to ensure the responsibilities of the Chief Executive and his role as Company Secretary are effectively fulfilled.  Overseeing the PGA’s Heritage Collection with overall line management responsibility for the Curator of PGA Heritage whilst upholding the profile of the Chief Executive and The PGA professionally and positively.

The role includes overall responsibility for:

  • Providing assistance and advice to the Chief Executive in all matters associated with the Executive Office whilst acting as a sounding board;
  • Prioritising and managing issues that have escalated to the Chief Executive’s office whilst keeping well informed of developments or issues that impact The PGA and the Chief Executive;
  • Providing comprehensive, accurate and timely administration support in the coordination of internal management procedures and the delivery of responsibilities as Company Secretary;
  • Identifying, anticipating and proactively supporting the Chief Executive’s fast-paced workload and associated activities through comprehensive and detailed calendar management and an understanding of competing priorities, identifying critical and time-specific tasks;
  • Being a first point of contact for the Chief Executive’s office, dealing with all communications, preparing speeches, business reports and presentations;
  • Overseeing all travel, accommodation and logistical arrangements for national and international trips including arranging currency, itineraries, identifying and reducing potential risks, highlighting cultural norms providing other detailed information relevant to the trip.
  • Authorising and reconciling expenditure ensuring the effective use of financial resources as per company process;
  • Arranging a full schedule of meetings for the Board, Executive Committee and Senior Leadership Team, creating agendas, minutes, reports and action plans.  Ensuring all actions are carried out and effective records are maintained;
  • Organise the Annual company AGM and assisting with regional annual meetings;
  • Manage specific projects on behalf of the Chief Executive, some of which may be of a complex, sensitive or confidential nature;
  • Acting as line manager to the PGA Curator of Heritage, organising and agreeing workload and associated duties to preserve the PGA’s Heritage collection;
  • Managing high level, often confidential or sensitive projects on behalf of the Chief Executive and providing high level administration support to the PGA Chairman

Role Requirement:
Education/Qualifications/Key Competences/Personal Profile includes:

  • Educated to degree level or equivalent or able to demonstrate equivalent professional experience and expertise;
  • Extensive experience of providing proactive relevant support;
  • Correspondence and high quality report writing skills suitable for presentation to a range of audiences;
  • Working knowledge and appreciation of business activity with knowledge and understanding of Company Secretary duties;
  • Highly developed interpersonal skills with the ability to positively engage a range of internal and external stakeholders;
  • Ability to prioritise work for self and the Chief Executive in an environment with multiple and conflicting demands;
  • Able to travel and competently represent the interests of The PGA and the Chief Executive at external meetings and events;
  • A high degree of flexibility, sometimes required to work across multiple time zones;
  • Continuously improves, results driven, takes initiative and responsibility whilst building relationships that promote an inclusive, supportive and collaborative environment
