The Role:
Responsibility for the administration of a year group on the PGA Training Programme (FdSc and DipHE only) and to work as part of a team to provide administrative support to ensure the efficient running of the Training Programme (FdSc, DipHE and AGMS) and other training initiatives within the Education Department

  • Responsible for the administration of a Training Programme year group.
  • To administer Assistant Professionals’ annual enrolment, subscriptions, exam fees and playing record fines as applicable.
  • Formulate and agree with Manager individual Assistant Professional payment plans (where applicable), and monitoring to ensure compliance.
  • To administer and organise Assistant attendance at the annual residential week at the PGA National Training Academy.
  • To maintain the PGA CRM databases for Assistant Professionals in an accurate and timely manner.
  • To be the first point of contact for PGA Professionals and Assistant Professionals and liaise and correspond with both, to ensure that information is accurate.
  • Ensure the Assistants’ attachment and Declaration of Existence of Employment Contract is in place and up to date.
  • Process assignment extension requests, in agreement with the Training Programme Administration Manager and advise the PGA Assistant, Training Executive and the assignment marker accordingly.
  • Assist Lecturers with allocating and distributing assignments and relevant paperwork to the markers.
  • Input assignment marks onto BIRMS (UoB) database.
  • Send assignment marks to DipHE Programme Lead (UHI) to enter into SITS database.
  • Release marks to Assistant Professionals and report the release of marks to PGA Pro’s within agreed deadline period.
  • To assist with the coordination of examinations, including booking Assistant Professionals onto their required venue for examinations and ensuring that the correct amount of examination papers/guidance notes are distributed to the relevant examination centres.
  • To assist with logging in of coursework marks, inputting all examination marks and producing and dispatching examination results, ensuring accuracy at all times.
  • Taking and dealing with telephone, email and face to face enquiries.
  • Help to organise and administer Training Programme events e.g. graduation and examinations.
  • Advise and liaise with other PGA Departments, Regional Offices, the University of Birmingham and the University of the Highlands and Islands, to facilitate the exchange of accurate relevant information, e.g. advising of Assistant Professionals’ progression, suspensions, relocations, changes to training etc.
  • Generate all relevant template correspondence.
  • Assist with running periodic ad hoc reports.

Role Requirements: Education/Qualifications/Key Competences/Personal Profile:

  • GCSE level including Maths and English (or equivalent demonstrating adequate levels of numeracy and literacy);
  • Strong administration, IT and keyboard skills (Word, Excel, Outlook, Power-point, Web-based applications)
  • Knowledge of database management. Excellent communication skills (written and verbal). High levels of accuracy. Organised with the ability to plan and prioritise workload to meet multiple deadlines
  • Works independently or as part of team

  • Presents professional image of self, the Department and The PGA
  • Natural communicator with a customer-centric approach
  • Flexible approach
